From first conversation to fully automated operation.

Step 1 — We schedule a call or exchange a few emails. You tell me about your operation and explain how you currently handle the problems we solve. I ask any questions to learn what I need to know. By the end of those exchanges I know exactly which system(s) to build to provide maximum value. You can start with one or multiple. If we are in agreement, we move on to the next step.

Step 2 — We sign an agreement and you pay a 50% deposit. A straightforward service agreement is sent the same day or the next. Once signed and the deposit is received, the build begins. You fill out an intake form and you authorize me to access your tools to build the system. No ambiguity on scope, timeline, or cost.

Step 3 — I build and configure your system(s). Every automation is built from scratch for your specific operation and connected to the tools you already use. I test everything end-to-end internally before you ever see it.

Step 4 — I show you what was built, confirm everything fires correctly, and hand you documentation. You review it. We go live. The remaining 50% of the setup fee is due at go-live. From that moment forward it runs automatically — no staff involvement, no manual follow-up, nothing falling through the cracks.

Step 5 — The retainer keeps it running. Monthly monitoring, adjustments, and support are included. If something stops working, I fix it. If your business evolves, the system evolves with it.

My name is Kyler Quirk. I'm the founder of Linchpin Systems. I'm a Veteran, Louisiana born and raised, and a proud American.I built this company because I kept seeing the same problem — good HVAC operators running excellent businesses and losing revenue not because of bad service, but because no one was there to follow up. What tools do you connect to?
We connect to thousands of tools. These include virtually every FSM platform used by residential HVAC businesses — Jobber, HouseCall Pro, ServiceTitan, Google Sheets, and many more. Beyond FSM tools, we connect to Google Business Profile for review collection, any invoicing and payment software (Stripe, Quickbooks, etc), and any email platforms (Google Workspace or Gmail, Yahoo, Outlook, etc). Above all else, we ensure that these tools seamlessly communicate with each other when a specific event occurs to trigger it.
How long does it take to setup?
Up to four weeks from signed agreement and 50% deposit received, but usually much quicker. Exact conditions that affect timeline are outlined in the service agreement. To sum it up, your timely cooperation in granting us the proper access to your tools ensures a much quicker setup time. We will provide instructions on how you can do that to ensure you can start implementing these extremely high ROI automation systems and start recovering revenue as soon as possible.
What happens if something breaks?
Monitoring, maintenance, and support are included in the monthly retainer. If something stops working, we fix it — that's what the retainer is for. This is outlined in the service agreement.
Is there a contract?
A Client Service Agreement that allows cancellation as long as there's a 30-day notice. It has no long-term lock-in. The agreement is straightforward and covers scope, payment terms, confidentiality, cancellation policies, project timeline, and IP/data ownership.
What exactly does the Lead Response Automation do?
